Booking status meanings/flow on impacts
Status | Meaning | Flow on |
New | The booking has been created and is awaiting action by the nominated sports organisation | Email to school acknowledging a booking |
Pending | The booking is in process of being organised by the sports organisation | |
Confirmed | The sports organisation has confirmed they will accept the booking - providers need to update the actual cost of the booking prior to confirming the booking |
Email to school confirming the booking The school receives their grant payment

Completed | The booking has been completed | |
Cancellation requested | A cancellation has been requested by a school and is awaiting the sports organisation to cancel the booking | |
Cancelled - School | The booking has been cancelled by the school and this is confirmed by the sports organisation | Email to school confirming the cancellation |
Cancelled - Sport | The booking has been cancelled by the sports organisation directly | Email to school confirming the cancellation |
The booking status will be visible to the school in their booking portal. The change in status will update to the school ~5mins.
Change in status approach - Confirmed bookings
From Term 2 2024 an NSO, SSO or provider can set the booking to a Confirmed status BEFORE allocating a coach (the prior process only moved the booking to Confirmed after a coach accepted the booking).
IMPORTANT: If you are Confirming the booking, please ensure you can actually deliver the booking, and then proceed to allocate to your coaches.
Changing the booking status
- Go to OfficialsHQ
- Navigate to Schools Bookings -> Booking management
- Select the booking you are interested in
- Select the Booking Status functions (arrows image)
- Select the Next status button to adjust the status
