1. Adding a cost to a booking
Field name: The existing cost field in OfficialsHQ/Booking Management has been renamed to 'Provisional cost'.
This field reflects the agreed-upon program cost (with the school), which is subject to change based on any logistical modifications to the booking. This should be GST inclusive and does not include the cost of any add-ons.
The field is accessible via the Costs function ($ sign) on the menu bar.
Mandatory entry: When admins move the booking to Confirmed and the Provisional cost field is blank, the admin will be prompted to enter the Provisional cost. This is helpfully located at the top right of the Booking Status modal.
The Provisional cost can be seen by the school in their booking history section of the booking portal.
2. Removal of Completed status option
Sport administrators can no longer move bookings to the Completed status. This status is now exclusively managed through the ASC’s end-of-term processes.
This change was implemented immediately due to its significant impact on school grant payments, which are closely tied to bookings marked as Completed.
We acknowledge that this adjustment may affect some sports. Sporting Schools is actively working on solutions to minimise any disruption and address concerns arising from this change.
