Who can make a booking
To make a booking you must be a nominated contact for your school (Coordinator, Principal or Finance Contact).

School eligibility to make a booking
A school can only make a booking, for the term, if they have been successful in their grant application (for the term).
You will receive an email notification if your grant application was successful.
Alternatively, you can check in your Sporting Schools portal by going to the School portal and selecting the Grants menu option. To make a booking your grant status needs to be either Successful or Grant paid.
Accessing the booking system

- Log into your School portal (visit our website if you need help accessing the system)
- Click the Booking option in the menu.
- In the Booking page, select the button 'Book a primary school sport' or 'Booking a secondary school sport', depending on the school type you have the grant for
If this button is not showing, it is possible the following has occurred:
- Your school does not have a grant for the current term
- You are trying to make a booking outside of the term dates. Visit our website to see term dates.
- When this button is selected, you will access the booking system
Making a booking selection
- When you access the booking system, enter:
- Total count of students for your booking
- Date you would like your booking to start (please leave a reasonable amount of time for organisation)
- Budget. This is optional but really helpful for sports to understand
- Any notes you can help the sport with eg your equipment or available space
- Select the Next button
Now in the main booking system you can shop around the available sports options.
Ways to locate a booking option:
- Select one or more sports
- Search for a package by name
- Use the filters to refine your search
- For coach delivered bookings (where an out of school coach runs the booking for you) When you have selected a package, you can choose the amount of sessions you want to run. Note:
- Changing the session count will adjust the cost of the booking, usually more sessions = higher cost
- The sport may have set a minimum count of sessions, this ensures the sports delivery to students aligns to program rules and best practice for the given sport
- When happy, select the Add to booking button (if provider selection is offered, please see section below Making a booking selection - I know the provider I want to use)
- Then select Next step button to move to the Add-ons section
Making a booking selection - I know the provider I want to use
Schools can now directly select a provider in the booking system, this could be a provider you've used before who provided great service.
There are different types of provider. Providers are usually considered a private coaching provider, a local sports club or a sport professional who coaches. They are not usually the sporting organisations eg Athletics Australia or Football Australia.
If you want to book with a sporting organisation use the guide above.
If in doubt please speak to the provider before you book to ensure they are registered to be a Sporting Schools provider.
If you want to identify a provider directly, complete the following steps:
- Go to the main booking page
- Locate the Providers section and select the provider in the dropdown
- Activate the slider for 'Show registered provider sports' to show all sports the provider supports
- Select the sport you are interested in and complete the booking
- If you selected an official sport option (usually this has an official sport logo or image), then select the provider in the package tile

Making an Add-on selection
Add-ons are an additional extra to support your booking delivery, these tend to be equipment packs or teacher learning courses.
These are optional to purchase.
Some sports will direct you to an outside website to purchase items.
- In the Add on screen select a tile to view and add to booking
- When selected the Add on will be added to your cart. You can increase the quantity as desired or remove the Add on as needed
- When happy, select the Next step button
NSO/SSOs can add/change add-ons connected to your booking on your behalf once the booking has been submitted.
Configuring your class setup
You will now be asked, per class:
- count of students per class (the system will equally divide the class numbers)
- year group(s) of students in the class
- day(s) of week and time(s) of day preferences
You may also add additional classes.
Important:
It is expected the sport admin will contact you to confirm the best approach to organising your booking and getting the best value for your money. The booking information you enter helps smooth this process.
- Sports will usually have a max amount of students per class to ensure safety and quality of delivery. Adjusting class counts may impact the cost of coaching delivery. Usually more students = higher cost as more coaches will be needed per class
- Adding additional classes to the booking may increase the booking cost
- Day and time preferences are not confirmed at this point, they are an expression of preference only

School contact
This is who the sports organisation will contact to organise the booking.
When you have completed all sections, please review the booking confirmation screen and select the Submit booking button
Next steps
Your booking will be sent to your chosen sporting organisation. The sporting organisation will be in contact with you to organise the booking.
Once the booking is confirmed via the system by the organisation, the grant funding will be released to the school. If a school has submitted multiple bookings, the grant will be released once one booking linked to the grant is confirmed.
