This article is for NSO/SSOs to create the session dates/times per class for coach delivered bookings.

Creating sessions
- Go to OfficialsHQ https://home.officialshq.com/
- Navigate to Schools Bookings -> Booking management (shortcut here)
- Select the booking you are interested in
- Select the Generate sessions function (cogs icon)
- You will now view the classes created by the school in their booking
- From this screen you can add an additional class(es) if required
- Select the Generate Sessions function (cogs icon)
- You will now see the setup screen for that class
NOTE: After you create the sessions you can adjust them individually
Field meanings
| Field | Meaning |
| Start date | date of the first session |
| Session start | start time of each session you create |
| #session (count of sessions) | count of sessions to be created |
| Duration (min) | duration of each session in mins |
| Session repetition | How often the count of sessions are repeated (see below) |
Session repetition
| Option | What it does |
| Daily | Creates a session daily, from the Start date |
| Twice weekly |
Creates a session twice a week, from the Start date. Each day within the week is split by two days. The next week starts on the same day as the first session of the prior week. eg if the Start date is a Tuesday for 4 x sessions, the system will create: Week 1 Tuesday, Thursday Week 2 Tuesday, Thursday |
| Weekly | Creates a session weekly, from the Start date |
| Fortnight | Creates a session every fortnight, from the Start date |
| Monthly | Creates a session monthly, from the Start date |
WATCH-OUTS:
- The system does not limit the booking within the term delivery dates. Please make sure you stay within the term dates for the school's year. These generally fit per the below:
- Term 2 2024 end date - 05/07/2024
- Term 3 2024 end date - 27/09/2024
- Term 4 2024 end date - 20/12/2024
- The system allocates on weekend dates and holidays (national and state). Please be aware and adjust

- After you have entered the session parameter, select the Generate session button. TIP: You can adjust the session parameters and re-select the Generate session button
- Now the individual sessions are created, you can:
- Adjust the session number, date, time, duration
- Add another session
- Delete a session
- When happy select the Save button
- When the class sessions are created, the class summary page will show a green tick
NOTE: once you have created the sessions you cannot go back into the session builder. See below for the screen to adjust the sessions.
Repeat this process for all classes in the booking.
View/adjust created sessions
When the sessions have been created they can be seen in the Session Management section
- Navigate to Schools Bookings -> Booking management (shortcut here)
- Select the booking row
- Select the Session Management function (calendar icon)
